Job Summary:

The Office & Engagement Coordinator directly supports the mission of CCF to enhance the health, equity, and prosperity of LGBTQ+ people in Southeastern Wisconsin. The role combines: Office Management responsibilities for our small downtown Milwaukee office; Administrative support of our President & CEO; Assisting the President & CEO in coordinating Engagement events; and Targeted business development and fundraising endeavors as directed by the President & CEO. The ideal candidate is a highly organized, self-motivated, and hardworking, with strong interpersonal and problem-solving skills. Appointment may be made at a full-time or part-time basis. Responsibilities: 

Office Management

  • Day-to-day management of the CCF office, such as maintaining office supplies and answering phones
  • Managing incoming and outcoming email correspondence
  • Managing accounts receivables/payable, and general budget management and reconciliation – including preparation of fundraising reports and maintaining records for external audit support
  • Maintaining Cream City Foundation virtual presence – including Social Media profiles and website
  • Managing Donor communications – including donation acknowledgment communications

 

Administrative and Coordinating Support of President & CEO

  • Support the President & CEO of Cream City Foundation in administrative capacity; including, but not limited to calendar/appointment management with external people and groups; meeting preparation work such as assembling presentations, materials and office space management; answering and returning calls, and managing all internal and external CCF documents
  • Maintaining confidentiality when necessary
  • Assist the President & CEO with all CCF fundraising and community convening events

 

Wing-to-Wing Engagement Coordination

  • Coordinate elements of concurrent Fundraising & Convening events as directed – such as managing invite lists, on-site support, volunteer rosters and event logistics
  • Execute strategic deliverables to ensure success of events and initiatives related to Fundraising and Convening efforts – such as early-stage publicity, marketing and public awareness campaigns
  • Maintain excellent documentation of event planning, expenses, communication, etc.

 

Minimum Required Qualifications:

  • Associate’s degree; or 3 years administrative, event planning or office management experience
  • Strong written communication, including drafting, editing, and proofreading skills
  • Ability to work independently and manage multiple projects simultaneously
  • Proficient in Microsoft 365 applications, especially Outlook, Word, Excel, and PowerPoint
  • Proficient with SalesForce.com, especially Opportunity, Contact and Campaign management
  • Familiar with basic operation of Social Media platforms such as Facebook, Instagram and LinkedIn
  • Access to a reliable transportation and ability to work from our office in downtown Milwaukee (to be assessed regularly with respect to COVID-19 and public health concerns)
  • Ability to access file cabinets, lift office equipment and supplies weighing up to 25 pounds for various meetings, events, and logistical needs.
  • Attendance at and on-site support for occasional fundraising, engagement/convening or other events hosted by the Cream City Foundation at various locations across Southeastern Wisconsin. Some events may take place outside of normal business hours.

 

Preferred Qualifications:

  • Bachelor’s degree in a business, communications, or other related field
  • com training credentials and/or Certifications
  • Proficiency in Mass Communication platforms (i.e. MailChimp)
  • Proficiency with social media platforms (Facebook, Instagram and LinkedIn)
  • Proficiency with WordPress website hosting platform and website management
  • Proficiency with Adobe® family of design software (i.e. Photoshop, Illustrator, InDesign)

 

Compensation and Benefits:

  • Salary is commensurate with experience
  • Other benefits to be negotiated
  • Paid vacation, sick and holiday leave
